What we collect and why

When you send a quote request or an operator enquiry we collect what you type into the form: name, phone number, email address, pickup or drop-off address, journey date and time, passenger numbers, any notes and, for operators, company details. We use the enquiry for one purpose: to obtain a quote for your journey from a licensed private-hire operator, or to discuss a partnership with an operator. The legal basis is that the processing is necessary to take steps at your request before entering into a contract. You are not obliged by law or contract to give us these details, but without them we cannot obtain a quote for you.

The form also records the internet address (IP address) the enquiry came from. It is checked by Cloudflare Turnstile to block automated spam and is then stored alongside the enquiry so we can trace abuse. The legal basis for that is our legitimate interest in keeping the service free of spam and misuse.

Who sees it

A customer enquiry is passed to one Kent private-hire operator, licensed by a Kent district council, so they can quote and, if you accept, carry out the journey. They become a data controller in their own right for that booking and their own privacy notice applies. We do not sell your details or pass them to anyone else.

We use these service providers to run the site, each acting on our instructions as a processor: Cloudflare (website hosting, form handling, the Turnstile spam check and visitor analytics), Google (Google Analytics and Tag Manager, only with your consent, and Google Workspace for our email) and Slack (delivery of enquiries to us). Cloudflare, Slack and Google may process data in the United States; those transfers are covered by the UK Extension to the EU-US Data Privacy Framework or by the UK International Data Transfer Agreement.

How long we keep it

Enquiries are kept for up to 12 months so we can answer questions about a quote, then deleted.

Cookies and analytics

When you first visit, a banner asks which cookies you allow. Strictly necessary cookies are always on: Cloudflare Turnstile may set a short-lived cookie to tell people from bots on the forms, and the banner itself stores your choice in a cookie called cc_airportcarskent for six months. If you allow analytics, we load Google Analytics 4 (through Google Tag Manager), which sets the _ga cookie for two years and _gid for 24 hours to tell returning visitors from new ones, and Cloudflare Web Analytics, which sets no cookies. Until you allow analytics, Google's tags run in consent mode with all storage denied and set no cookies. We set no marketing or functionality cookies at present. You can change your choice at any time from the "Cookie preferences" link in the footer.

Your rights

You can ask for a copy of the personal data we hold about you, ask us to correct or delete it, ask us to restrict how we use it, ask for it in a portable form, or object to our processing it. Email or write to us using the details above. If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office.
